Position: Administrative Assistant 

Reports to: Eligibility Supervisor 

Supervises: None 

Minimum Qualifications: 

Education: High School Diploma 

Experience: One year experience in a business office, using Microsoft Office, postage meter/scale, calculator, fax, and copier. Receptionist, administrative assistant or customer service experience preferred. 

Clearances: ChildLine Child abuse, PA State Police Criminal and Federal Fingerprint clearances Requirements: 

Travel: Valid driver’s license, car insurance (annual verification required), and reliable personal transportation for travel within Pennsylvania. 

Physical Conditions: Moderate physical effort in a predominately sitting, standing or walking position. Manual dexterity needed for writing and typing. Occasional bending, stooping, or lifting up to 20 lbs 

Personal: Positive attitude, proactive approach and commitment to teamwork, respectful communication with parents, providers, and coworkers, effective oral and written communication and organizational skills, strict adherence to confidentiality guidelines, satisfactory attendance, punctual arrival and completion of scheduled work hours 

Essential Responsibilities and Duties: 

1. Problem solving ability where independent judgment may be required 

2. Professionally answers telephones and greets visitors, ascertains nature of calls or visitor’s business, and directs calls to or contacts appropriate staff 

3. Maintains sign in log of individuals visiting the ELRC 

4. Processes, prepares, logs, and distributes incoming and outgoing mail for staff 

5. Adds prepaid postage to postage meter, monitors postage account balance, and coordinates postage rate change installation updates with IT Operations & Facilities Administrator and Fiscal Director 

6. Processes incoming documents via email, fax, scan, or pdf file creation for digitalized record keeping 

7. Prepares purchase orders and monitors and maintains supplies, excluding computer equipment, software, furniture, and fixtures. Matches purchase orders to receiving documents, and then forwards to Fiscal Director for payment documentation 

8. Distributes purchased supplies to staff or stores items as they are delivered 

9. Straightens the waiting area as needed, and disinfects the area and toys monthly 

10. Prepares or contributes to, and electronically delivers quarterly parent newsletter 

11.Performs all other job related directives as requested by management
